Copying and borrowing extramural materials

Using the libraries of other universities

If you require a book or journal not available on campus, you can use the libraries of other universities to access and copy their books and materials. However, please note that some universities require extramural users receive permission before their libraries can be used. The reference counter provides a letters of introduction required when you visit libraries at other universities. Please inquire at this counter if you wish to use another university’s library.

Extramural document copying and interlibrary loans

The library provides an extramural document-copying service, which allows the university to request on your behalf the delivery and copy of documents in the collections of other institutions not available on our campus. It also provides an extramural interlibrary loan service for borrowing books. These services are limited to research purposes and can only be used within the scope provided for in the Japanese Copyright Act.

Please read the following before applying for these services:

  • Please confirm that the material you want is not already in the University of Electro-Communications’ collection. You can do this by using the On-campus materials search and CiNii Books. As a general rule, your application will not be approved if the material you want to use is in the collection of a laboratory or department library on campus. If this is the case, please inquire at the library. Please take care to follow the instructions of the library in question to avoid hindering other research being conducted. You may inquire at the main library counter if you are unable to use source material due to circumstances at the library that has the material you want.
  • Please also check the list of electronic journals that the University of Electro-Communications subscribes to. The full text of a large number of journals is viewable through this service.

How to apply

There are two methods for applying, and their use is dependent on your status and payment classification.

  • Applying at the counter
    • Available to all users connected to the University of Electro-Communications (faculty, graduate students, research students, undergraduate students and others).
    • Payments made through university expense accounts and private payments are both accepted.
  • Applying via the library website
    • Available only for faculty.
    • Only payments made through university expense accounts are accepted.
    • Depending on the location that you borrow or copy the materials from, the fees may be changed to private payments after you apply.

2. You may be required to make private payments either in cash to Payment Section at the Financial and Accounting Office, in stamps, or via post office or bank transfer.

  • Document copies
    • University library, etc. (university expense account or private payment): \30 per page to \50 per page (varies depending on location) + postage
    • National Diet Library (university expense account or private payment): \24 per page + \150 forwarding handling fee + sales tax + postage

    Notes:

    1. Special fees apply to express delivery and faxing.
    2. Fees differ from the above for microfilms and large-size materials.
    3. Depending on the location, only private payments may be accepted.
    4. You may be required to make private payments either in cash to Payment Section at the Financial and Accounting Office?or via post office or bank transfer.
  • Interlibrary loans
    • University libraries, etc. (university expense account or private payment): Price of postage (Yu-Mail + Simplified Registered Mail, etc.)

Time required for delivery

Delivery of both document copies and interlibrary loans requires approximately a week to ten days. More time may be required depending on the location from which materials are requested. Please make your application as early as possible to provide sufficient leeway. Express delivery and faxing are also possible; please request these methods when time is a factor.

Delivery

Document copies: In general, you will be contacted via e-mail when your copies arrive, and your name will be posted on the board near the counter. Take the tag with your name on it to the counter. When receiving your copies, sign your name and fill in the date on the receipt.
Interlibrary loans: Similarly to document copies, your name will be posted on the board near the counter. You will also be contacted via e-mail. Although loan times vary depending on where the materials are being borrowed from, in general interlibrary loaned books may be borrowed for around two weeks. Once you are contacted via e-mail, be sure to come to the library counter as soon as possible. Please be sure to follow the set loan period.

Document copy and interlibrary loan hours

The hours are: Monday through Friday, 9 a.m. to noon and 1 to 5 p.m. Document copy and interlibrary loan services are not provided during the lunch break, after 5 p.m., and on Saturdays.

Applying at the counter

Fill out the extramural document copying and interlibrary loan application form available in front of the reference counter and submit it at the counter.

Applying via the library website

only to faculty.

 

Please select according to your request.

  1. First, enter your username and password into the login screen and click “Login.”
    • Username : Your UEC account name
    • Password : Your UEC account password
    Note: For security purposes, we recommend that you change your password on a regular basis. Use the UEC account password change system to change your password.
  2. Only applications using payments through university expense accounts will be accepted.
    Note: Fees may be changed to private payment after application, depending on location.
  3. Fill in the relevant items depending on whether you are applying for document copying or interlibrary loans. In particular, do not forget to enter your account code (four or five digits).
  4. Once you have filled out the form, review your application and click the Order button.
  5. A copy of the content of your application will be e-mailed to you. Please retain it before your order arrives. Please include your application number when making inquiries.
  6. As a general rule, you will be notified via e-mail when your materials arrive. Please pick them up at the counter during document copy/interlibrary loan hours.
